2. Personal Data We Process

When you visit our site, fill in our contact forms, access our SaaS products (PT Randevu, Remind Flow, Vet Flow, etc.) and review or purchase electronic/hardware products we may offer in the future, the following data categories are processed:

• Identity and Contact Details: Name, surname, email address, phone number, billing and delivery address.
• Customer Transaction and Request Data: Contact form messages, request and complaint records, SaaS subscription and order history.
• Payment Data: Payment method, transaction reference number (we do not see or store your card details; payments are processed through authorised payment providers).
• Transaction Security and Technical Logs: IP address, server access logs, browser and device information.

3. Purposes and Legal Bases for Processing

Your data is processed on the legal bases in Article 5 of KVKK—“performance of a contract”, “legal obligation of the data controller” and “legitimate interests of the data controller”—for the following purposes:

• Responding to requests you send through contact forms,
• Delivering our B2B SaaS services and digital/physical product processes,
• Sending appointment and transaction reminders by email or WhatsApp,
• Maintaining system security, diagnosing faults and keeping technical logs,
• Meeting legal obligations and financial processes (issuing invoices, etc.).

4. Where Data Is Stored and International Transfers

Our website and SaaS panels are hosted on secure servers located in Turkey. Application databases and technical logs are kept on these servers.

To perform the service, data is transferred to the following overseas providers only to the extent required by the relevant operation:

• Email delivery: Contact form and system notifications are sent via Amazon SES. This transfer is necessary for the email to reach the recipient.
• Payments: Subscription payments are taken through Stripe. We do not see or store card numbers; only the information required for the payment goes to Stripe.
• WhatsApp notifications: Where WhatsApp reminders are enabled in the products, messages are delivered via Meta WhatsApp Cloud API. The transfer is limited to the phone number and template content needed to deliver the notification.

Outside these providers, your personal data is not sold or shared with third parties for marketing. International transfers are limited to performing the services above.

5. Retention Period

Emails and requests received through the contact form are securely deleted from our email archive after commercial/operational communication between us has ended and the legal response period (up to 1 year) has passed.

Technical logs (IP address, request time and error records) are kept to maintain security and find faults. These logs are deleted after 7 days. If storage limits are reached, deletion may happen earlier. Passwords, card numbers and message text are not written to these logs.

Invoices, contracts and subscription records are not technical logs. They remain in the panel and financial archive for their own statutory periods.

6. Your Rights and How to Apply

Under Article 11 of KVKK, as a data subject you have the right to learn whether your data is processed and to request deletion or correction. You may send requests, with information that verifies your identity, to contactus@termitsoftware.com. Applications will be answered within 30 days at the latest.
